Golf Ireland is the single governing body for golf on the island of Ireland, established in January 2021 it is responsible for leading, growing and supporting the game of golf. The primary functions of Golf Ireland include the administration of Championships and Inter-Club events, the administration of the World Handicap System and the Rules of Golf and Amateur Status, the delivery of a world-class high-performance programme, contesting and hosting international fixtures, supporting clubs and growing the game.

An exciting job opportunity has arisen within Golf Ireland, and we are now seeking to recruit a Senior Office Administrator to support our team to implement approved strategic and operational plans.

This role requires excellent communication, multitasking, and problem-solving skills, along with in-depth knowledge of office systems and processes.

Role: Senior Office Administrator
Contract: Full-time – 5 days office based – 3 year contract
Reporting to: Head of Safeguarding & Office Administration
Based: Golf Ireland HQ – Maynooth, Co.Kildare
Principal Responsibilities:
  • Oversee the day-to-day administrative operations of the office
    • Managing emails
    • Updating databases
    • Ordering and management of office, kitchen supplies and catering requests
    • Booking meeting rooms
    • Filing/Data Entry of all invoices and contracts
    • Provide reception cover as and when required
  • Manage the ordering, delivery, stock take and co-ordination of all merchandise
  • Respond to customer queries and support requests via the Golf Ireland email enquiries portal helpdesk as needed
  • Review, implement and improve office procedures
  • Facilities maintenance – Schedule and oversee the planning and actioning of any maintenance requirements with contracted companies/suppliers
  • Manage office service agreements and supplier relationships
  • Assist in the planning of staff events
  • Manage the Golf Ireland membership card process with contracted supplier
  • Manage the Volunteer Information Portal – Including uniform distribution, stock control, contact database administration, support the regional offices with the use of the Volunteer Information Portal, answering of, or re-directing of enquiries from volunteers to the relevant personnel.
  • Act as the Health & Safety administrator to manage the administrative function of the Fit2Trade Health & Safety portal to ensure all staff remain compliant and all health and safety requirements are completed and kept up to date.
  • Assist with the administration of key departments of Golf Ireland as required
Experience and Knowledge:

Essential:

  • Minimum of 4-5 years proven experience in a senior office administration role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software (e.g., MS Teams, SharePoint, Zoom, or similar tools)
  • Exceptional verbal and written communication skills
  • Excellent attention to detail and problem-solving skills
  • Excellent organisational, time management and project management skills
  • Experience in data processing.
  • Trustworthy, discrete and highly dependable
  • Knowledge of golf is preferable

Desirable

  • Experience of working in a fast paced and multi-functional environment
  • Experience of working with volunteers
