ROLE AND PURPOSE OF POSITION:

Leinster Rugby’s Facilities Executive will be responsible for the upkeep of our office facilities, ensuring these working environments run smoothly and efficiently. As part of a fast‑paced sporting organisation this position plays a key role in ensuring our staff, athletes, and visitors experience a safe, well‑maintained, and welcoming environment every day.

SKILLS AND EXPERIENCE

Essential

  • A minimum of three years’ experience in a similar role
  • Knowledge of current Health and Safety regulations
  • Ability to deliver a high standard of facilities operations
  • Ability to generate working relationships with key stakeholders
  • Ability to highlight and resolve ongoing facility and maintenance issues
  • Energetic with a positive, can-do attitude
  • Ability to work independently using own initiative
  • Reliable and self-motivated
  • Excellent communication and problem-solving skills

  • Flexibility to work outside of normal office hours occasionally if the need arises

Desirable

  • Third level qualification in Facilities Management and Health and Safety in the Workplace
  • Knowledge of health and safety regulations or training (e.g., manual handling, first aid, fire warden)
  • Interest in the sports industry or experience working in a dynamic, fast‑paced environment

 KEY RESPONSIBILITIES

Facilities Operations

  • Support the day‑to‑day management of Leinster Rugby’s facilities by being the main point of contact for staff and players in the Leinster Rugby Office facilities (UCD, the Centre of Excellence (COE) at Energia Park, and the Leinster Academy player houses) ensuring all areas are clean, safe, and fully operational
  • Maintain close relationships with stakeholders of each facility
  • Assist with coordinating planned and reactive maintenance, working closely with external contractors and service providers ensuring efficient services are provided in a cost-effective manner
  • Point of contact for car parking arrangements in UCD via Apcoa
  • Track contractor performance and ensure work is completed to required standards
  • Monitor building systems (air conditioning, alarms/security, lighting, access control) and escalate issues as needed
  • Conduct regular inspections of the premises to identify hazards, maintenance needs, or improvement opportunities
  • Build strong working relationships with staff and key stakeholders within the province, the IRFU and other associations

Health, Safety and Compliance

  • Help maintain compliance with health and safety regulations, including record‑keeping and reporting
  • Act as designated Health and Safety Officer and Fire Safety Manager as outlined in the Leinster Rugby Safety Statement, participate in fire drills, safety audits, and incident investigations
  • Support the implementation of safety procedures, emergency plans, and risk assessments, ensuring all facilities are fully operational and compliant with safety and security protocols
  • Recruit and manage Fire Safety Officers and First Aiders
  • Act as first responder to alarm call outs which may occur outside of normal office hours

Fleet Management

  • Managing Domestic Rugby car fleet and car insurance policies
  • Point of contact for Leaseplan & Nifti (insurance & lease providers)
  • Issuing up to date information to drivers on process involved where accidental damage to fleet occurs
  • Identify issues, trends, and improvement opportunities within each facility
  • Ensure and implement a contract performance measurement system to monitor and improve services from external contractors
  • Manage facilities and event budgets in a cost-effective manner

 Office Space and IT Management

  • Assist with office layout planning, desk moves, and space utilisation projects
  • Manage stock levels of office supplies, equipment, and consumables
  • General coordination of meeting room setup including digital equipment, event logistics including catering and after-hours security
  • Manage relationship with external IT helpdesk
  • Mobile phone and laptop management for new and existing staff

Sustainability and Continuous Improvement

  • Contribute to sustainability initiatives such as waste reduction, energy efficiency, and recycling programmes
  • Suggest improvements to enhance the workplace experience and operational efficiency
