Role and Reporting Structure

Reporting to the Club Support Manager, this role is responsible for supporting Swim Ireland clubs (Leinster) in their day-to-day operations and to work with them in all aspects of their development (technical and administrative). This role will also provide administration and logistical support in the co-ordination, organisation and running of all Leinster swimming competitions.

Key Areas of Responsibility

Responsibilities for the Leinster Club and Competitions Support Officer include the following:

Provide general Club support through visits, guidance, and direction

  • Visit clubs and meet with committees and coaches as required (virtual and face to face)
  • Ongoing answering of queries and support
  • Support affiliation and registration of new members
  • Assist the set-up of new clubs
  • Work closely with and build relationships with Regional Committees to support the achievement of their objectives
  • Support in development of new initiatives and training for clubs and members

Operate an efficient and supportive Club Affiliation Process

  • Support clubs through affiliation and the processing of members throughout the year
  • Ensure clubs are fully registering their members with all contact information
  • Enforce affiliation/ safeguarding requirements with clubs

Club Mark Programme

  • Target clubs for sign up of the club mark programme
  • Visit clubs and support throughout the process
  • Keep records of all documentation submitted by clubs


  • Support Regional Committees in delivering their day-to-day operations
  • Support the Head of Safeguarding and Youth Development in the implementation of polices and delivery of new initiatives and projects
  • Support other departments in Swim Ireland in the delivery of their work, such as Competitions and Events
  • Build positive working relationships with key partners and stakeholders and others who may assist and support Swim Ireland’s Clubs and Regions
  • Support the roll out of Swim Ireland initiatives

Regional Competition Support

  • Liaise with the competition venues in advance of meet
  • Engage in contract negotiations with facility providers
  • Apply for meet licence for all regional competitions
  • Manage stock of medals and other forms of awards, including ordering within budget allocations
  • Book audio-visual and other equipment for events as required
  • Organise of relevant accommodation and catering requirements for officials and staff
  • Co-ordinate and organise swimmer, team manager and officials’ packs and accreditation where relevant
  • Co-ordinate the design and print of programmes as appropriate
  • Issue invitations for events to invited guests as appropriate
  • Co-ordinate arrangements for the Team Leader’s Meeting
  • Prepare, distribute, and manage volunteer rotas for competitions
  • Be available to attend and support Leinster competitions
  • Act as Meet Licensing Co-ordinator for Leinster region
  • Work closely with Leinster treasurer to ensure all competitions expenses are paid in a timely manner
  • Manage payment of competition fees by clubs in advance of competitions, following up on outstanding fees where required.
  • Engage and update the Leinster management committee on a regular basis

Essential Requirements

  • Be eligible and available to work in Ireland on a full-time basis
  • Have a full clean driver’s license and access to a car
  • Available to work unsociable hours including evenings and weekends
  • Excellent working knowledge of IT and software packages including MS Office, Word, Excel, and PowerPoint
  • Presentation or workshop delivery/ facilitation skills

Education and Experience

  • Relevant experience in a similar role
  • Undergraduate Degree

Remuneration and Location

The package will include a salary commensurate with qualifications and experience

Position Tenure: 3 year fixed-term full-time contract

Position Location: Swim Ireland Head Office, Irish Sport HQ, Sport Ireland Campus, Blanchardstown, Dublin 15
